The Challenge

Estech Systems used HubSpot for sales and marketing, but billing and revenue data lived in Rev.io. Without an integration, the team had to manually export and import data between systems. This was a slow, error-prone process that delayed outreach and disrupted operations.

Disconnected Systems and Manual Processes

HubSpot and Rev.io operated in silos, preventing sales and marketing teams from leveraging revenue data for customer communications. The lack of automation forced the team to depend on manual data handling, which was inefficient and limited real-time visibility.

Complex Object Relationships in Rev.io

Because Rev.io’s data structure relied heavily on object associations, a standard integration could not capture or sync key relationships. Estech needed a custom solution to ensure accuracy and integrity across all customer records.

The Solution

Mole Street partnered with Estech Systems to design and deploy a custom one-way integration from Rev.io to HubSpot, creating a seamless flow of billing and customer data into HubSpot’s CRM. The engagement combined precise technical architecture, rigorous data mapping, and agile project management to deliver results in just three months.

Discovery and Planning

The project began with a full data and system assessment. Mole Street worked with key stakeholders to map object relationships between Rev.io and HubSpot and build a detailed integration roadmap with defined milestones and dependencies.

Custom Integration Development

A custom serverless function was built in HubSpot to associate Rev.io Customers with HubSpot Companies. The integration was engineered for continuous one-way sync, ensuring reliable data flow through a scalable, low-maintenance architecture.

Data Mapping and Property Creation

Data integrity was prioritized through careful mapping and setup. Standard HubSpot properties were aligned, and 35 custom fields were created to support Rev.io-specific data. Sync accuracy was validated throughout development.

Testing and Validation

User acceptance testing took place in a dedicated sandbox environment. Mole Street ran multiple UAT cycles with client teams, refining logic and performance based on real use cases to ensure reliability prior to launch.

Launch and Monitoring
