The Challenge
Boomer Consulting moved its sales process from Zendesk Sell to HubSpot around 2023. Marketing and sales ran well in the new system. After a deal closed, everything went manual. Finance tracked revenue in a spreadsheet that HubSpot's own reports could not match.
Every Closed Deal Was Re-Typed by Hand Into a Finance Spreadsheet
A sales team member left a free-text handoff note on each closed-won deal. Finance opened the line items and copied service, amount, consultants, state, and recognition month into the Revenue Pipeline workbook. A missed note meant a missed deal.
One Deal Could Hold Several Years of Revenue and Consultants
Memberships, sponsorships, retainers, and consulting often shared one deal. Each line item was recognized in the month its service was delivered, sometimes years apart. The native QuickBooks Online integration expected a one-to-one product match that Boomer's line items did not have.
Revenue Landed in the Wrong Month When Delivery Dates Moved
Line items had a revenue recognition date field, but nothing required it. Delivery dates were often set after signing, between client service and the client. At month-end, Finance checked consultant calendars to find sessions. Line items without dates fell out of reports.
Leadership Could Not Trust the Revenue Numbers Coming Out of HubSpot
HubSpot reports combining deals, companies, and line items returned different totals from the spreadsheet. The team could not tell which filter caused the gap. The revenue pipeline stayed the only view, because every new view meant another manual build.
The Same Deal Had to Be Keyed Into Three Separate Workbooks
Two more workbooks were built from the pipeline by re-entering the same deals. One tracked consultant revenue splits. The other tracked circle memberships and payments. Each new service line added another tab, and one person handled the process.

The Solution
Mole Street rebuilt Boomer's post-sale revenue reporting inside HubSpot during an eight-week reporting and optimization package. The work focused on four areas: one line-item dataset, rules for complete data at close, a finance dashboard, and workbooks sourced from HubSpot. Each round of testing brought HubSpot's numbers closer to the spreadsheet Finance had relied on.
Replaced Manual Deal Entry With a Line-Item Dataset for Finance
A HubSpot Data Studio dataset now produces one row per line item, joined to its deal and company. It updates when records change. QuickBooks Online still handles invoicing, which kept the project out of a full two-way integration.
Modeled Revenue at the Line Item for Multi-Year Deals
Each line item's recognition date now decides its revenue month, so deal close dates no longer matter. Monthly columns use net price, not unit price. Process consulting now gets one line item per project date.
Built an Exception Queue That Surfaces Missing Revenue Data
Reports include only closed-won deals with recognition dates attached, which removed lost deals from revenue totals. A Classification Status field flags uncategorized line items. Dashboard drill-downs open the deals missing location data, so teams correct them in HubSpot.
Built a Revenue Recognition Dashboard for Quarterly Goal Tracking
The dashboard reports revenue by product type, month, state, company, and consultant, with quarterly and annual goal gauges. Boomer validated it against a full live revenue month. Twenty-four logged defects were resolved across three testing rounds.
Trained Boomer's Team to Build Their Own Cross-Object Reports
